Introduction

What is a LIMS workstation?

A LIMS (Laboratory Information Management System) is the platform your QC team uses to log samples, track tests and sign off results. A LIMS workstation is the hardware operators use to reach it. At most sites, that means walking back to a wall-mounted PC between every sample.

The Kinetic-ID pharma LIMS workstation (ID-Flow 5) changes that. The cGMP LIMS workstation runs as a 304L stainless mobile cart, validated for Grade C through D. Sample registration, result entry and approval all happen at the sampling point, and the workstation runs a standard Windows environment, so whatever LIMS your site uses is what you access.

The problem

Three ways fixed terminals cost you batches

Data lives at fixed terminals. Work happens on the floor.

Every walk to a fixed MES terminal risks a transcription error and delays the batch. Operators lose 20–40 minutes per shift to the commute.

Manual re-entry invites audit findings.

Paper-to-system transcription is the most-cited deviation source in FDA 483 letters. Each manual step is a CAPA risk.

Upstream deviations go undetected until batch failure.

Without floor-level visibility, QC and engineering see deviations only after the batch record is compiled, hours or days after they could have been corrected.

Why mobile

The case for mobile LIMS access

Fixed LIMS terminals force the workflow to come to the hardware. Operators walk back to a wall PC for sample registration, walk again to record a reading, walk again to close the test. Every round trip is a chance for a transcription error or a forgotten field.

Less walking

9% operator time back

Customer deployments consistently measure a 9% reduction in operator time once LIMS entry is done at the sampling point rather than at a shared fixed station.

Fewer errors

Entry at the point of work

No paper notes on the walk back, no remembered readings, no "which sample was this again?" The operator enters the value while the sample is still in hand.

Less contention

No queue at the shared PC

Shared terminals become bottlenecks at shift change and during batch release. The LIMS cart fleet scales with the number of samples in process, not the number of fixed seats.

LIMS platform compatibility

Works with the LIMS you already run

The workstation runs a standard Windows environment with a full browser, so any LIMS your site accesses through a web interface works without custom integration. The LabVantage workstation, STARLIMS workstation and LabWare workstation are all the same ID-Flow 5 hardware. We pre-configure the browser session to your LIMS at deployment so the operator just signs in. Connection is over Wi-Fi 6 or wired Ethernet. Kinetic-ID does not host or process your LIMS data.

FAQ

Frequently asked questions

Does this store or process our LIMS data?

No. The workstation is a thin client that opens your LIMS in a browser. All sample data, audit trails and user authentication stay inside your LIMS and your network. Kinetic-ID has no access to any of it and no cloud service sits in the loop. This is important for 21 CFR Part 11 and EU Annex 11 validation; the workstation does not change your system of record.

Which cleanroom grades is it validated for?

ID-Flow 5 is suitable for ISO Class 7 and Class 8 environments per ISO 14644-1, equivalent to EU GMP Grade C and Grade D. The 304L stainless chassis, ingress protection rated enclosure and low particle-shed construction support cleanroom validation. Site-specific validation is supported by IQ/OQ/PQ documentation packages issued with every deployment.

Which LIMS platforms are validated?

Active deployments exist with LabVantage, STARLIMS, LabWare and Thermo SampleManager. Integration is browser-based over Wi-Fi 6 (802.11ax). Kinetic-ID does not host or process LIMS data. Audit trails and data stay inside your existing systems, compatible with 21 CFR Part 11 and EU Annex 11. Customer-validated configuration details are available on request under NDA.

How does the battery hot-swap work?

The cart uses two 500 Wh Li-ion battery packs. Battery exchange takes approximately 5 minutes and requires removing access screws from the underside of the cart. Plan exchanges for shift changes or natural workflow breaks rather than mid-task — the brief operational pause is best treated as a scheduled handover rather than an interruption.

What's the lead time for a standard configuration?

Standard configurations ship in 6–8 weeks from order confirmation. Custom configurations (specific peripheral bundles, branded fascia, non-standard screen sizes) add 2–4 weeks. Every unit ships with IQ/OQ documentation and a validated delivery file.

Can we pilot a single unit before scaling?

Yes. Get an ID-Flow unit on site to evaluate against your operational and validation requirements. Typical pilots run around 30 days, though we’ll work with your team on the right timeline. Site survey, setup support and IQ/OQ documentation are included.

Is the cart suitable for Grade A or B aseptic processing zones?

ID-Flow 5 is specified for Grade C and Grade D environments. For Grade A or B aseptic processing zones, look at ID-Flow 9 — fully sealed 316L stainless built specifically for critical zones. We can recommend the right product based on your room classification.
